4.1.5 Travel Grant Program   - approved 12/94, updated 08/01, 12/04, 04/06, 08/06, 02/07, 04/07, 05/07, 08/07, 04/08

4.1.5.1. General Policy

Under the Travel Grant Program, the Communications Society provides a limited number of travel grants to help Society students and other members attend major ComSoc conferences. The program includes two types of travel grants: Student Travel Grant (STG) and Discretionary Travel Grant (DTG). The following conferences are currently included in the program: ICC, GLOBECOM, INFOCOM, WCNC, NOMS, IM, CCNC and SECON.

The STG is considered only for student members applying to conferences organized outside their ComSoc home region. An applicant’s home region is defined as one of the ComSoc Regions, depending on the country wherein he/she currently resides or attends school. For the purposes of this program, the ComSoc Regions are:

  • North America (NA) Region - IEEE Regions 1-6 (USA),
  • IEEE Region 7 (Canada)
  • Europe, Africa & Middle-East (EAME) Region - IEEE Region 8
  • Latin America (LA) Region - IEEE Region 9
  • Asia Pacific (AP) Region - IEEE Region 10

Conferences may have other sources for travel awards; e.g., the NSF (National Science Foundation) program supports travel for students studying at a US college or university.  These NSF grant applications are evaluated and the grant decisions made by the conference’s Travel Awards Committee.

Eligibility for Student Travel Grants
To qualify for the ComSoc STG the applicant must satisfy all of the following requirements:

  • Is an author of an accepted conference paper and presents the paper;
  • Conference is located outside applicant’s home region;
  • Is a Student Member of IEEE Communications Society when submitting the application;
  • Is a full-time student registered toward a Bachelors, Masters, or Ph.D. degree in engineering or related field in a college or university when submitting the application;
  • Candidates may not receive more than one STG in any 12-month period.
  • Author did not receive funding from other sources.

The STG consists of a check for up to US$1000 to be used toward registration fees, conference hotel expenses, and travel costs.

Included in the Travel Grant Program is a limited number of Discretionary Travel Grants for up to $1000 available for professionals and students attending conferences.  Potential DTG candidates are presenters of conference papers, panelists, session chairs, invited speakers, ComSoc chapter chairs, etc.  Applicants must be members of IEEE Communications Society at the time of application.

Travel Grant Application Process and Notification
Applicants for the STG and DTG should complete the Travel Grant Application form available on the conference web site.  The current year’s conference web site will provide instructions on how to proceed.  The form should be submitted online via EDAS and sent by e-mail to the conference’s Travel Awards Chair.  Applications must be submitted by the date announced on the conference website.  (The recording/handling of all STG and DTG is supported within EDAS.)
